Frequently Asked Questions

If you’re reading this, you’re probably interested in getting involved with the PTO, but not sure about the level of commitment. No worries! You’re in the right place!

Valley Forge Elementary School has a rich tradition of active family involvement. Our success is dependent upon families who are enthusiastic about being engaged in their children’s education. A few hours of your time benefits all VFES children, families and staff.

But remember, WHATEVER your level of flexibility and availability may be, the VFES PTO appreciates ALL of our parent volunteers and staff. Without you, we wouldn’t be able to offer such high quality experiences for our kids.

How will I know what to do?

The titles “VP” and “Chairperson” might sound a bit intimidating, but don’t worry, we live in a “Copy and Paste” world. All of the positions are well documented via emails and hard copy documents. Many of our previous board members still have children at VFES. They’re happy to answer questions and provide guidance.

Life is already so busy. What is the time commitment like?

There are many opportunities for parents who work either inside or outside the home. Parents with flexibility during the day might consider volunteering for positions that require more time in school, such as Library Volunteer or Chairperson for events. Parents who work outside of the home might help by volunteering their time for positions that can be done from home or computer, such as being a Club Administrator or a volunteer with the Publishing Center. There are options!

If you’re thinking about joining the PTO Board, the best positions for working parents are Treasurer, Assistant Treasurer, VP of Fundraising and VP of Volunteer Services. These jobs can primarily be done from home. You’d need to stop by the school once each week to pick up checks or retrieve items from your mailbox.

How long is a term on the PTO Board?

The length of time that you serve is a minimum of one year and a maximum of 5 years in the same position. You can remain longer on the board if you like, but you will need to change your role.

Will I have to stay in the same position each year?

No, you can switch positions for the next year as long as everyone is in agreement.

Do VPs have to help with every PTO event?

No, VPs do not have to help with every PTO event but you should be available to help out during events that fall under your jurisdiction. There are several events where PTO board members do need to help out: the Back to School Social, Back to School Nights, Scary Gym, the Adult Social/Silent Auction and the Spring Fair. Whenever an event is short on volunteers the PTO usually steps in, but this is not required.

How often are PTO meetings?

There is one meeting every month. Monthly meeting times are determined by the board’s schedule.

Will I need to attend meetings in person?

It is always ideal to have everyone show up in person, however, we have had board members call in. We do our best to be accommodating.

Can I share a board position with a partner?

If you can work it out so that the job is seamless, working with a partner can be fine. However, it is best to have at least one of the partners be a non-working parent so that they can attend meetings and events.

What happens if there is not a chairperson for an event that I am running?

The VP of Volunteers does her best to fill in all empty positions. However, if there is not a chair for an event, the appropriate VP usually steps in.

Why are the Treasurer, Assistant Treasurer, and President required to work during the Spring Fair?

While most of the board is bonded (insured to handle money), the Treasurer, Assistant Treasurer and President are the most logical persons to count and create deposits during the Spring Fair. The two treasurers are given the first hour to enjoy the fair with their families and then they work on creating the deposits. The President covers them for the first hour and then steps in to help them again after the raffle.
